Fleet Driver Privacy / Model Driver Notice

This guidance helps Fleet customers inform drivers about vehicle tracking. It is a model notice only — Fleet customers are responsible for their own lawful, fair and transparent driver notices and monitoring policies.

Model driver notice

"This vehicle is fitted with a tracking device as part of MotR Fleet, used by [employer name] for fleet management purposes, which may include location, journey history, compliance and reporting. Tracking may take place during working hours and authorised private use. Your personal data is processed in line with UK GDPR and the Data Protection Act 2018. For details of your rights and the lawful basis, see [employer privacy/monitoring policy] or contact [employer contact]."

Fleet customer responsibilities

Fleet customers are responsible for:

• Informing workers and passengers about monitoring in advance and in clear terms;
• Identifying a lawful basis for any processing of personal data;
• Ensuring monitoring is necessary and proportionate;
• Carrying out a Data Protection Impact Assessment where legally required;
• Addressing authorised private use of fleet vehicles;
• Restricting or pausing tracking during private use where appropriate;
• Maintaining internal monitoring and privacy policies and making them available to affected workers.

Not covert surveillance

MotR Fleet is not marketed, and must not be used, as a covert employee-surveillance product. Covert monitoring is not permitted under the MotR Fleet Terms except where the Fleet customer has independent legal authority to carry it out.
